Planning a B2B event with a DJ? DJ checklist for event organizers

    From tech to timing: the DJ's plan for your successful event

    As an event DJ with over 20 years of experience at B2B events, I know that success begins long before the first song. Especially if you haven't booked a DJ often, the planning can quickly seem complex. What equipment is really necessary? When are setup and soundcheck ideal? How can I integrate the DJ into the schedule, brand, and moderation so that everything flows as one seamless whole?

    That's why I've put together a step-by-step guide with all the points that are important for planning a smooth DJ performance: Technology and power, space requirements and acoustics, schedule and contract, communication and contacts, music requests/no-goes, backup and emergency plan - right through to coordination with the location and technical service providers. The result is a smooth flow from a relaxed reception to a full dance floor - with rousing, danceable mixes that are just right for your event.

    With my checklist, you can keep all the important points in view and avoid surprises. It's been tried and tested in hundreds of corporate events and helps you to miss nothing, make decisions faster, and concentrate on all the other important things surrounding your event. I'll take care of the rest – and ensure an unforgettable atmosphere from the first song to the last.

    25-Point Checklist for DJing at B2B Events

    Power supply

    • Access to power sockets: Sufficient power connections near the DJ booth (at least 2 x 230 V).
    • performance capacity: Clarify whether the power supply meets the requirements of the sound and lighting technology (heavy current may be necessary for larger events).

    A flawless, sufficient power supply is the basis for interference-free sound and safe technology. Ideally, you should have your own power circuit that is not shared with the kitchen or event centre. If required, I will bring tested multiple sockets and cables to ensure that everything is laid out properly and safely.

    2. Build time

    • Schedule for set-up and sound check: When can the DJ be on site? Ideally at least two hours before the start of the event.

    With sufficient lead time, the technology, acoustics and volume can be set up in peace - without pressure and without disturbing other programme items. Ideally, the sound check should take place before guests arrive and, if necessary, in coordination with the location's sound control centre.

    • Space required Sufficient space for the DJ booth, speakers and any lighting equipment (at least 2.5 x 2.5 metres).
    • Table or pedestal: Clarify whether a stable table or platform will be provided for the DJ booth or whether the DJ will bring his own furniture.

    Sufficient space ensures ergonomic working, safe cable routing, and a tidy appearance. An elevated position improves line of sight to the audience and enhances the impact within the room.

    • Roofing: For open-air events, a canopy or pavilion is required to protect the technology and DJ from the weather.

    Sun, rain and wind are a risk for electronics - and for the event. A weatherproof structure protects the technology, reduces the risk of failure and ensures that the event remains plannable.

    5. WLAN or Internet access

    • Internet connection: Clarify whether a stable internet connection is required, e.g. for live streams or spontaneous music requests.

    → I generally work offline and therefore independently of the internet. However, the internet is helpful for integrations (streams, event apps) or special music requests. I also take precautions and have access to mobile data to ensure that everything runs smoothly.

    6. volume controls

    • Volume limits: Are there decibel limits or fixed regulations by the location regarding volume that must be adhered to, e.g. in office buildings or hotels?

    → Clear guidelines help to keep the music pleasant to listen to and acceptable - especially in sensitive environments. I organise the mix and the positioning of the speakers to create atmosphere without overdriving areas.

    7. schedule

    • Event timing: Handing over a detailed schedule with all programme items (e.g. speeches, presentations, breaks). As a DJ, I can then coordinate my sets accordingly.

    → With a precise flow, transitions can be musically designed, energy curves planned and moderations harmoniously framed. I keep buffers ready for delays so that the flow is right even in the event of spontaneous changes.

    8. music style

    • Music selection: Are there guidelines for the choice of music? (e.g. discreet background music during the reception and party music at the end of the official part)
    • Corporate Identity: Should the music match the brand or the event motto?

    → A clear musical framework creates identity and guides guests through the evening - from subtle to danceable. I like to work with go/no-go play lists and curate sets in line with the brand and target group.

    9. public address system

    • Size of the location: Clarify whether the existing sound equipment is sufficient or whether the DJ should bring additional equipment.
    • Separate areas: Will multiple rooms or outdoor areas be covered?

    The success of the party largely depends on the quality of the equipment. As a DJ, I coordinate with the venue regarding the available equipment. Room size, ceiling height, and furnishings determine which sound system is appropriate.

    10. Lighting technology

    • Lighting Should the DJ provide stage or dancefloor lighting?
    • Colour concept Does the lighting design need to match the corporate design or the event decor?

    Light enhances, draws attention, and strengthens the brand identity. Whether it's atmospheric ambient lighting or dynamic dancefloor lighting – we define a suitable scenario for the desired look and feel.

    11. Microphones

    • Provision Are wireless microphones needed for presentations, speeches, or awards ceremonies?
    • Handling Clarification on whether the DJ will operate the microphones or if they will be provided by the on-site technical crew.

    The right microphones ensure intelligible speeches without feedback. I'm planning for sufficient microphones, spare batteries, and clear handovers between speakers and the production team.

    12. Event Moderation

    • DJ as a presenter Should the DJ moderate the event (e.g. announcements, programme items) or is there a separate moderator?

    Not every DJ is also a presenter, so it's essential to clarify beforehand whether the DJ can and wants to take on a presenter role.

    13th technical team on site

    • Cooperation: Are there technicians or an event agency on-site who can assist with setup, soundcheck, and the running of the event?

    Clear responsibilities between the DJ, venue, and service providers speed up setup and troubleshooting. I coordinate with stage management and sound/lighting early on.

    14. Changing/Rest Room

    • Provision Is there a separate room where the DJ can get changed or retreat to during breaks?

    → A retreat enables a professional demeanour, concentrated preparation and safe storage of suitcases & co. This ultimately benefits the entire process.

    15. Catering

    • Food and drink: Will catering be provided for the DJ (snacks, water, coffee)?

    → Long performances require reliable supplies to keep you energised until the last song. Simple solutions such as water on stage and a snack in between are often enough.

    16. emergency contact

    • Contact person Who is the main contact person for the DJ on the day of the event (e.g. event manager, agency, organiser)?

    A clearly named contact person speeds up decision-making for plan changes. In addition, telephone numbers should be exchanged.

    17. parking facilities

    • Transport Is there a car park near the location that is reserved for equipment transport?

    Short journeys and reserved loading zones save time and hassle – especially with heavy equipment. Please provide information on entry, access, and any applicable loading times.

    18. Access to the Location

    • Key/access codes: Clarification of how and when the DJ will gain access to the location.
    • Transport routes Are there lifts or stairs that need to be taken into account for equipment transport?

    → Regulated access prevents waiting times and makes it easier to start on time. I plan the logistics along the actual routes, including security and registration processes.

    19 Branding & Corporate Identity

    • Individual adaptations Should the DJ integrate company logos or special animations in the lighting technology or on screens, for example?

    Music, sounds, and visuals can elegantly support brand messages. I coordinate formats, timings, and approvals with you or your agency.

    20. Emergency Plan

    • Backup technique Should the DJ bring reserve equipment (e.g. additional speakers, microphones)?
    • Technical failure Is there someone on-site who can assist with technical problems?

    Redundancy (replacement players, cables, microphones) minimises the risk of failure. In an emergency, we can fall back on defined contingencies – quickly, calmly, and barely noticeable to guests.

    21. Contract and Invoicing

    • Written agreement Is there a contract in place that sets out all the services, timeline, and costs?
    • Invoice details: Have all details for invoicing been submitted correctly?

    → A clear contract creates transparency regarding services, times, technology and cancellation rules. Complete invoice data speeds up processing.

    22. Social Media & Image Rights

    • Recordings Clarification of whether and how the DJ is authorised to create and use images of the event.

    Everyone likes to document what's special about their current workday on social media and the like these days. Here, it's important to clearly define in advance for the DJ – and for all other service providers – whether and which motifs may be recorded and published.

    23rd event end

    • End time: Until when can the DJ play? Is there a fixed end time or is an extension possible?

    With a defined end time, I can precisely set the dramaturgical arc musically. We will clarify options for extension, including conditions, beforehand, so you can decide flexibly.

    24. Special features of the location

    • House rules: Are there any special regulations (e.g. smoking ban, closing times, safety requirements) that the DJ needs to be aware of?

    → Every location has its own peculiarities - from fire protection to technology. I integrate the existing infrastructure sensibly and strictly adhere to the house rules.

    25. payment

    • Components: Clarification on whether all components are included as line items in the quote – from travel and accommodation to lighting and sound equipment.
    • Payment modalities: Clarification of whether a deposit is required, whether payment is to be made in advance, on the day of the event or by invoice after the event.

    Additional notes for planning

    • DJ Flexibility B2B events often have a tight schedule and can change spontaneously. Clarify whether the DJ can react flexibly to changes.
    • Technical sample: For large events, it can be useful to organise a technical check or a dress rehearsal in advance.
