Finding the perfect location for the Christmas party

5 DJ Tips: What to Look for When Searching for a Christmas Party Venue

The location plays a vital role in the Christmas party - if everything is right, the perfect conditions are created so that the guests not only have a great time but also celebrate a fantastic party.

When it comes to the party aspect of a Christmas celebration, there are a few important points to consider right from the start when searching for a venue. I've put together the 5 most important points for choosing the right venue for your Christmas party here.

When visiting the venue and making arrangements for your Christmas party, you should pay attention to the following:

What is the quality of the sound system at your Christmas party venue?

No matter how good your DJ is for your Christmas party, if they have to use a poor, outdated sound system, it will severely impact the success of the Christmas party. Therefore, one of the most important points is to discuss with the venue in advance what technology is available on site. As a rule, venues can also provide a list of individual components, including the model numbers of the sound equipment. Based on this list, your DJ can already assess the quality of the sound technology at the venue very well. If it is too old, you may incur additional costs for hired sound equipment.

    2. Does the venue for your Christmas party have a noise limit?

The topic Volume I have already dedicated a blog post to this – that's how important this topic is! Because if there are restrictions on party volume, even the best sound system – whether it's already in the venue or externally hired – is useless. There are quite a few venues where a party is simply not possible from a DJ's perspective because the volume regulations are completely unsuitable for a party. Unfortunately, some venue operators only address the issue of volume after the contract has been signed. Therefore, protect yourself and address the topic specifically beforehand. Otherwise, a party with music at room volume will bring your Christmas party to a swift end.

Christmas parties have special requirements regarding the size of the dance floor in the location.

    3. How big is the dance floor at your Christmas party location?

Attention, there's a special consideration to be aware of here. Unlike weddings and other celebrations where the venue is chosen based on the size of the party, you should calculate differently for Christmas parties. This is because not all guests at Christmas parties stay until the end of the party at the venue. Many enjoy the first few hours of the Christmas party and the meal in a cosy setting. In our experience, a significant portion of guests tend to leave after the meal, meaning that suddenly, out of an initial 600 party guests, only 400 will be starting the party at the Christmas celebration. My tip therefore: Don't choose too large a dance floor, because with dance floors that are too big, the right atmosphere usually doesn't build. If, in the end, there are fewer guests than planned for the party, the dance floor can be slightly reduced with high tables etc.

    4. How is the dance floor positioned in the location?

There's also a tip for positioning the dance floor – a spot near the bar is ideal. This is because men, in particular, tend to venture onto the dance floor after one or two more drinks. From the bar, they can survey the dance floor and the party happenings before they then fill the dance floor. And so it's only a few steps from the bar to the party. It's rather disadvantageous for the bar to be located in a side room or far from the dance floor. This is because it unnecessarily separates the party guests and affects the mood.

Position the entertainment close together at the Christmas party - otherwise, the dance floor will remain empty.

    5. Will there be a photo booth or other entertainment at your Christmas party?

In principle, this applies to all entertainment elements: plan them in the immediate vicinity of the party. Even if the venue for your Christmas party offers you various rooms to use – as soon as the party starts, everything should only take place near the dance floor. This is because any guest who is in other rooms will be missed at the party, and this can quickly create the feeling of an „empty“ party or dance floor. Therefore, position fun elements such as a Photo booth in the same room as the dance floor, so guests can be back on the dance floor in no time for their next favourite song.
